Registration

The first face attendees see. Efficient and friendly are the two goals: a smile, a quick scan, a wristband, and on their way.

The basics

Registration is one of the most important roles at the conference. Attendees form their first impression of Devcon at your desk. Check in and out with the Volunteer Attendance Lead at the start and end of every shift, as for every role.

Rehearse the script below before the day. Say it out loud to a mirror, or to a friend. You will practise scanning at the in-person training on Sunday 1 November.

Guard the wristbands

Your Lead hands you a set number of wristbands at the start of the shift and counts them at the end. None may go missing.

What every attendee leaves with

  • A wristband (check the ticket type first).
  • The welcome items for the day. Devcon 7 gave everyone a POAP card. Mumbai TBC

At the desk

Four steps, every time. Keep the tone friendly and mostly on script.

  1. Welcome them Greet with a smile and the local greeting, then: Please have your ticket QR ready for scanning! For discounted tickets: Please have your ID ready! Speakers are sent to the speaker booths. Devcon 7 used booths 1 to 3. Mumbai TBC
  2. Scan the ticket Some discounted tickets need an ID check. Any ticket flagged "Attention, special ticket!" needs one too. If the screen says the ticket was already scanned, call your Lead over to investigate. Everyone gets a general admission wristband except Media and Speakers.
  3. Fit the wristband Ask Which hand is your dominant hand? The band goes on the other one, leaving about an inch between wrist and clasp. Tell them to keep it on. Devcon 7 charged $100 for a replacement. Mumbai TBC
  4. Hand out and send them on Give the handouts, say thank you, and point them to the Swag Station for free or paid swag. Mumbai TBC

If the registration area gets busy, send any question that is not a ticketing special case to the Info Desk. The aim is a short line, not a crowd.

Questions you will get

"What should I search in my email?"

Search for "Your ticket is ready for download!". If they still cannot find it, they can contact support@devcon.org, or you can send them to Special Cases.

"I want a ticket today."

Devcon 7 held an allocation of Day Passes for days 2, 3 and 4, and none for day 1. Whether Mumbai does the same is not confirmed. Mumbai TBC Ticket purchases are handled on devcon.org.

"What is the WiFi?"

There should be signage and QR codes around the Registration area.

Anything else that is not ticketing

Send them to the Info Desk after they leave the registration area.

Tricky situations

Stay warm and end on a lighter note, even when the answer is no. These are the Devcon 7 scenarios; the ticket rules for Mumbai may differ.

"I flew all this way and you will not let me in?"

Explain there are no day passes for day 1, and that they may have better luck on days 2 to 4. Mumbai TBC

"I brought my child. Can they come in?"

Anyone from 5 to under 18 goes to Special Cases, where a consent form is signed before a ticket is bought. Groups with special day passes also go there.

"Can I just go in for five minutes?"

No, a ticket is needed to enter the venue. Point to day passes if they are on sale.

"I need to meet my team inside."

Invite the team to come out front, or suggest a day pass if one is available.

"I cannot find my ticket or order number."

Ask for the email address they ordered with and search the order in the scanning app. If that fails, send them to Special Cases.

"I have no signal and cannot load my ticket."

Send them to Special Cases.

"I am with a team. Where do we drop our swag?"

A Devcon team member escorts them to the production area. Keep the venue map and app information handy.

If you are a Lead

  • Track the scanning devices and wristbands on the shared sheet.
  • Keep wristbands and welcome items behind the desk at all times.
  • Work the desk yourself if volunteers are missing.
  • Watch every volunteer and attendee interaction. Keep it friendly and mostly on script.
  • If an attendee is upset, ask them to speak with you to one side so the line keeps moving and the conversation stays private.
  • Keep Special Cases for the hardest problems, since they can take minutes. Nobody should queue there to ask for a ticket when none are left.

Be great with people and great at saying no. I am sorry, we have no more tickets can still end with you may have better luck on Thursday or Friday, when things quieten down.
